The buckets

What each aging bucket asks you to do.

Age decides the next step. The older a balance gets, the more it needs a person and a decision, not another automated reminder.

Current

Not yet due. Nothing to do except make sure the invoice went out with a way to pay.

1 to 30 days

Mostly forgotten balances. A reminder text or email with the payment link clears most of them.

31 to 60 days

A second notice and, for larger balances, a short courtesy call. Check for disputes and failed cards here.

61 to 90 days

Someone owns each account now. Offer a payment arrangement, decide on a service hold, and send a final notice.

Over 90 days

Decide account by account: payment plan, collection agency, small claims, or write-off. Do not leave it sitting.

The letters for the 1-30, 31-60, and 61-90 stages are in the free collection letter template, and the full follow-up schedule is in how to collect payments from pest control customers.

Reading the report

How to read an accounts receivable aging report.

The report is only useful if it changes what the office does this week.

Watch the past-due share, not just the total

A growing total can just mean a busy season. A growing share of the total sitting past 30 days means follow-up is slipping.

Sort by the oldest balance first

The report puts customers with the most over 90 days at the top. Those balances get harder to collect every week they wait.

Look for one customer in several buckets

A customer with balances in 1-30 and 61-90 is usually a failed autopay card or a disputed charge, not a customer refusing to pay.

Compare branches and months

Run the same report on the same day each month. If one branch or route carries more over-60 balances, look at how it follows up.

Beyond the report

From an aging report to a follow-up routine.

An aging report shows what is owed. It does not contact anyone.

Turn the report into weekly work

Give every past-due balance an owner and a state: ready for a reminder, waiting on the customer, waiting on the office, or resolved. See how to run a weekly accounts receivable workflow.

Running FieldRoutes?

FieldRoutes already has your aging data. Good Ops works the past-due list for FieldRoutes companies: it texts eligible customers their portal link, places a courtesy call if the balance stays unpaid, and hands disputes back to your team. It does not create invoices or take payments. See how Good Ops AI Collections works.

Questions

AR aging report FAQ.

What is an AR aging report?

An accounts receivable aging report lists every unpaid invoice and groups the balances by how long they have been past due, usually current, 1 to 30, 31 to 60, 61 to 90, and over 90 days. It shows how much customers owe and how old that money is.

How do you calculate days past due?

Subtract the invoice due date from the report date. An invoice due October 1 is 29 days past due on October 30 and falls in the 1 to 30 bucket. Some companies age from the invoice date instead; pick one and use it every month so reports compare.

How often should I run an aging report?

Weekly for working the past-due list, and on the same day each month for trend tracking. A monthly report compared with last month shows whether collections are getting better or worse.

What is a healthy aging report for a pest control company?

There is no single benchmark, but most of the balance should be current or in 1 to 30 days, and very little should be over 90. Recurring residential plans on autopay usually age well; commercial accounts and one-time jobs are where older balances build up.

Is the generator free, and is my data stored?

It is free and needs no account. The report runs in your browser tab, and nothing you type is saved or sent to Good Ops. Print it, save a PDF, or download a CSV for a spreadsheet before you leave the page.

Stop working the aging report by hand.

If you run FieldRoutes, we will show you which past-due customers Good Ops would contact and play the text and courtesy-call sequence on one of your branches.
